Recruitment Position Human Resources and Administration

Job Description

1. Administration Responsibilities

  • Manage administrative documentation, record keeping, and courier/postal services.
  • Monitor and maintain a professional and comfortable working environment, including office supplies procurement, asset management, office cleanliness, greenery, and facilities management.
  • Manage and coordinate meeting room schedules.
  • Handle payment procedures and track office operational expenses.

2. Human Resources Responsibilities

  • Welcome and support new employees during the onboarding process.
  • Handle offboarding procedures, clearance, and handover processes in compliance with company regulations.
  • Manage procedures related to foreign employees, including Work Permits, TRC, and related documentation.
  • Organize annual health check-ups for employees.
  • Coordinate internal communication activities and employer branding initiatives at the branch office.
  • Implement employee welfare programs, benefits, and engagement activities.

3. Internal Event Organization

  • Coordinate and organize internal events according to company plans, including Happy Hour, Year-End Party, company trips, and celebrations for special occasions such as Vietnamese Women’s Day (20/10), Vietnamese Teachers’ Day (20/11), etc., to enhance employee engagement and experience.

Requirements

  • Bachelor’s degree in Administration, Human Resources, or related fields.
  • At least 3 years of experience in HR & Administration roles, preferably in IT companies.
  • Hands-on experience in onboarding/offboarding processes, office administration, and internal event organization.
  • Good document drafting, communication, and coordination skills.
  • Proactive, responsible, and detail-oriented.
  • Experience using Japanese in the workplace is an advantage.
  • Experience handling procedures for foreign employees (Work Permit, Visa, TRC, etc.) is a plus.
